Compare Card Shop Fixture Quotes Without Mixing Different Scopes
Use a line-item comparison to identify quantity, configuration and delivery differences before treating supplier totals as comparable.
A practical planning method with a downloadable working record. Examples are illustrative; they are not test results or a specification for an unverified product.
Use one numbered schedule as the comparison spine
A supplier total may include a different set of work from another total. One offer might cover cabinets only, while another includes samples, additional fittings or an identified packing scope. Begin with a numbered fixture schedule linked to one plan revision.
For every item, state the quantity, location and required configuration. If an offer uses a different size or excludes an item, record that difference before calculating a comparison total. A cheaper line is not an equivalent line unless the agreed function is equivalent.
Separate the base fixture from its options
List locks, lighting, glazing, dividers, drawers and other selected options against the fixture that uses them. Ask whether they are included in the base line, priced separately or still provisional.
A single statement such as custom finish does not establish the rest of the configuration. Keep finish references, access arrangement and usable display requirements visible so that a visually similar proposal does not conceal a functional change.
Show the service and handoff boundaries
Add lines for design deliverables, samples, approval work, inspection evidence, packing, shipment and on-site responsibilities as applicable. State who is expected to perform each task. An excluded task is still part of the project if the store needs someone to do it.
Use the delivery destination and receiving conditions from the same brief. Ask the supplier to explain the delivery basis and the limits of the offered scope for this order. Do not invent a landed total by adding a generic percentage to an incomplete quote.
Build a comparison with explicit status fields
Use columns for the required scope, supplier response, amount where provided, assumptions and action needed. Mark every required line as included, optional, excluded or not yet confirmed. Leave uncertain costs open rather than treating a blank field as zero.
When an alternative is proposed, record the changed function and the effect on the fixture schedule. For example, a cabinet without reserve storage may need another storage item. Compare the resulting package, not only the original cabinet line.
Ask one clarification round against the same revision
Send the missing items and mismatches back in a short numbered list. Request a revised offer against the same plan, quantities and destination. If the project brief changes, issue a new revision to every supplier being compared.
Keep the earlier offer for reference, but make it obvious which revision is current. This reduces the chance that a sample charge from one version is accidentally compared with a different configuration from another.
Choose using resolved scope and evidence
Compare the final package only after the material differences are visible. Price matters, but so do whether the configuration meets the brief and whether approval, packing and handoff responsibilities are clear.
This method is a procurement worksheet, not a statement of standard prices, minimum quantities, freight charges or production timing. Those terms must be supplied and confirmed for the actual order. Use the downloadable sheet to organize the questions that remain before a purchase decision.
Working record
| Record | What to write | Check |
|---|---|---|
| Fixture line | Item number, quantity, size and configuration. | Identify every changed or missing function. |
| Service line | Design, samples, inspection and packing responsibilities. | Mark included, optional, excluded or unconfirmed. |
| Delivery and site line | Destination, receiving and installation responsibilities. | Keep uncertainty visible; a blank is not a zero cost. |
Questions before using the worksheet
Should I compare the lowest cabinet price first?
First align quantities, functions and the work included. Otherwise the lowest line may require additional items or work elsewhere.
Can I calculate a final delivered cost from this article?
No. Obtain destination-specific commercial information and an explicit scope for the actual order.
Apply the record to your fixture brief
Send the completed fields with your measured site information, merchandise examples and required delivery destination. Identify any unverified assumptions so they can be resolved before the configuration is approved.
